Position Overview

The Rockefeller Foundation is seeking an Associate, President's Office who will provide project management and programmatic support in the President's Office. Reporting to the Manager, Administration in the President's Office, the Associate will support key strategic priorities and major initiatives in close partnership with the Chief of Staff and other team members.

Pay Range: $91,000 - $125,919. This represents the present low and high end of the Foundation's pay range for this position. Actual pay will vary based on various factors, including but not limited to experience.

Work Schedule: This role is on a hybrid work schedule, and required to be in the office on Tuesdays, Wednesdays, and Thursdays.

Principal Duties and Responsibilities

  • In close collaboration with the Chief of Staff, prepare for meetings (most notably with the Executive Team, Senior Leadership Team, and Board), through agenda and material development, researching and synthesizing, follow-up, and day-of coordination.
  • Develop, deliver, and follow-up on high-level and informed briefings and talking points, and ensure quality control on these materials. Collect and analyze the information as needed, while applying independent judgment.
  • Independently conduct research and provide summaries and data management to help inform decision making for the Chief of Staff.
  • Collaborate with the Program Strategy team, to review, track, and report on grants, ensuring discretion, accurate documentation, and execution.
  • Work across the foundation on managing grantee relationships for the President's Strategic Opportunities Fund, ensuring compliance and tracking progress. Support the grant application and approval process, including identifying problems, proposing solutions, and communication.
  • Ensure events, convenings, and special activities for the PO team meet strategic objectives with the Manager, Administration and Chief of Staff.
  • Build and maintain relationships across the Foundation, representing the President's Office and contributing to a collaborative and inclusive environment.
  • Support the creation and implementation of processes to facilitate communication and feedback between teams and within the President's Office.
  • Independently work on special projects and events, including but not limited to Trustee engagement and Foundation governance as well as PO-led internal and external engagements such as with partners or in government relations.
  • Support general efficiency across the President's Office and contribute to daily office management and coordination with other teams within the organization, including:
    • planning, scheduling, calendar management, travel, and expense support for the Chief of Staff.
    • Support knowledge management for the President's Office including maintaining CRM database and other key documentation.
    • Take on other and additional responsibilities as needed, especially during team transitions, high-priority moments. Education, Experience, and Skills
      • At least 4 years of relevant experience in program support, program administration, or administration.
      • Relevant knowledge or experience in philanthropy, non-profits, grantmaking or government relations, or international relations field.
      • Strong analytical skills, with the ability to apply these to the development and management of high-impact projects and events.
      • Track record in managing complex projects, with a highly responsive style and a drive to achieve results.
      • Excellent communication and writing skills, able to translate concepts clearly for others.
      • Knowledge of climate issues and/or experience in one of The Foundation's four focus areas: power and climate; food systems; health; and innovative finance is preferred.
      • Experience with identifying or managing important relationships and working with partners/government agencies and/ or the corporate sector to advance shared objectives.
      • Experience conducting outreach and leading dynamic meetings and informational sessions.
      • Experience researching information from divergent sources and compiling it into cohesive and thoughtful briefings.
      • Demonstrated commitment to achieving impact, and advancing diversity, equity, and inclusion as core values.
      • Bachelor's degree preferred.
